The Bruyère Research Institute (BRI) partners with Bruyère Continuing Care (Bruyère), the University of Ottawa, and other stakeholders to conduct relevant and practical health sciences research related to improving the quality of life for the aging population and people requiring continuing care.
 
The successful candidate will coordinate the Pan-Canadian Palliative Care Research Collaborative, a large, national palliative care research network of over 100 investigators, clinicians, community and policy stakeholders, patient and caregiver partners, and trainees. With support from the Research Manager for the Division of Palliative Care, the Senior Administrative Coordinator role will entail coordinating all administrative and performance management components of the PCPCRC, including financial tracking and projections, grant reporting, contract agreements, national network meetings, communications and social media, and seed funding competitions. The successful candidate will have strong coordination and financial skills with demonstrated ability to coordinate multiple projects and moving parts at once.
 

Main duties and responsibilities:

This job description is not exhaustive. Additional duties may be added as projects progress.
 
Administrative Coordination - 60%
  • Work with investigators from 8 institutions across Canada to coordinate administrative components (finances, contracts, reporting) of 15 PCPCRC funded projects
  • Draft/review and coordinate execution of research contract data and funding transfer agreements
  • Draft, coordinate, and consolidate financial and performance measurement reports for PCPCRC member projects for harmonized and coherent reporting to the PCPCRC funder
  • Work with investigators to submit project amendments to the PCPCRC funder
  • Plan, organize, and coordinate national PCPCRC network meetings semi-annually (both virtually and in-person)
  • Organize regular network and project meetings
  • Coordinate an annual seed funding grant competition for PCPCRC members, including submission review and results communication
  • Coordinate PCPCRC branding and social media with support from the communications coordinator
Financial Coordination - 40%
  • Coordinate execution of funding transfer contract agreements
  • Maintain project budgets and conduct expense tracking and reimbursement
  • Conduct financial reconciliations and projections
  • Prepare quarterly and annual funding reports

Required Competencies:

  • Bachelor’s degree in a relevant field
  • Minimum 5 years relevant experience
  • Experience coordinating multi-site/multiple projects at once
  • Experience planning and executing large meeting events
  • Strong attention to detail
  • Demonstrated ability to work well independently with minimal supervision, resourcefulness
  • Demonstrated excellent organizational, time management, and prioritization skills
  • Demonstrated ability to meet tight timelines and deadlines
  • Demonstrated strong financial skills and experience using Excel
  • Demonstrated ability to multi-task and manage multiple projects/priorities at once to ensure deadlines and deliverables are met

Preferred Competencies:

  • Master’s degree
  • Experience in the research environment (considered a strong asset)
  • Bilingualism (French and English) (considered a strong asset)
  • Experience working with palliative/end-of-life populations
