Function Summary

Reporting to the Manager, Board Relations / Executive Office, the Executive Assistant provides administrative support to the President & Chief Executive Officer (CEO), as well as to the Manager, Board Relations and the Vice-President (VP), Communications, External Development and Engagement by coordinating, planning, organizing and performing a variety of technical and administrative matters. This position requires considerable independent judgment and problem solving skills to address non-routine issues on a daily basis. This incumbent works independently with latitude in accomplishing assignments.

Required Qualifications
 
  • Two (2) years Community College Diploma in Executive Office Administration or in a relevant field or equivalent combination of experience, education and training
  • Formal education in Business Administration would be considered an asset 
  • A minimum of five (5) years’ experience in:
    o an administrative assistant role, supporting senior executive positions
    o minute-taking and preparing required documentation for committee meetings
    o managing an executive’s calendar, filtering incoming emails and mail
    o editing, formatting and revising documents
  • Superior knowledge and understanding of office administration, management and communications theories and principles, research techniques, information management and technology 
  • Advanced computer skills, including Microsoft Office Suite software  
  • Advanced level of fluency in both French and English, spoken and written

  • Outstanding coordination, organizational and time management skills with ability to multi-task, prioritize appointments, conference calls and meetings, scheduling travel arrangements, and manage workload to ensure completion of tasks within tight deadlines 
  • Outstanding accuracy and impeccable attention to detail 
  • High level of initiative and flexibility
  • Advanced oral and writing communications skills in both official languages
  • Ability to compose, edit and triage correspondence, and to interpret information to ensure timely follow-up to inquiries 
  • Excellent analytical and listening abilities to accurately summarize key information
  • Demonstrated client-centered and service-oriented approach 
  • Excellent interpersonal and strong team work skills 
  • Demonstrated ability to work effectively with minimal supervision, autonomously and as a team member
  • Knowledge on how to operate audiovisual equipment such as teleconference system (Polycom), microphone, LCD projector, computer, printer, fax, photocopier, shredder, label printer, etc.
